Job Title: Executive Administrative Assistant

Duties/Responsibilities

  • Reads and analyzes incoming emails and memos determining which ones to handle and which ones to funnel to executives.
  • Files important documents, reports and records.
  • Attends meetings and transcribes and distributes minutes from meetings.
  • Assists executives by coordinating office services like budget preparation, housekeeping services and personnel evaluations.
  • Meets with special interest groups, charitable groups, trade organizations, media representatives and other individuals on behalf of the executives.
  • Oversees administrative policies and procedures to ensure all are followed correctly.
  • Looks for ways to improve work flows, expenditures and office procedures.
  • Trains and supervises clerical staff.
  • Handles logistics for special office parties, awards banquets and other celebrations.
  • Attends meetings and transcribes and distributes minutes from meetings.
  • Assists executives by coordinating office services like budget preparation, housekeeping services and personnel evaluations.
  • Meets with special interest groups, charitable groups, trade organizations, media representatives and other individuals on behalf of the executives.
  • Oversees administrative policies and procedures to ensure all are followed correctly.
  • Looks for ways to improve work flows, expenditures and office procedures.
  • Trains and supervises clerical staff.
  • Handles logistics for special office parties, awards banquets and other celebrations.
  • Greets visitors and escorts them to their meetings with executives.
  • Schedules appointments for executives and maintains their calendars.
  • Responds to correspondence.
  • Performs routine office work such as ordering supplies, performing bookkeeping tasks, maintaining records and databases and managing computer systems.
  • Prepares agendas and makes arrangements for various meetings.
  • Makes travel arrangements for executives.
  • Conducts research and compiles data to prepare analysis reports for presentation to executives and boards of directors.
Qualification
  • HND/Bachelor's Degree in Office Administration, Business Information Systems or Business Administration.
