ATON is recruiting to fill the below position:

Job Title: Executive Secretary

Location: Lagos

Job Description:
This position is responsible for a wide variety of secretarial and administrative duties for princpal officers and members of the Association including: supporting the Association’s Strategic Plan and Mission Statement;acting as the custodian of minutes; resolutions and ordinance books in accordance with the general requirements; updating the Administrative Code; creating and maintaining meeting agendas, including incorporating agenda material for presentation for routine, special and adjourned meetings.

Responsibilities:

  • The ideal candidate among other things will be responsible for the following:
  • Provide administrative and clerical support to the Association
  • Schedule meetings and arrange conference rooms
  • Manage and schedule travel
  • Take and transcript dictation
  • Maintain office procedures and plans all events
  • Helps prepare office budget
  • Coordinate travel arrangements; prepares itineraries; prepares, compiles and maintains travel vouchers and records
  • Operate office equipment, such as the photocopying machine and scanner
  • Relay directives, instructions and assignments to executives
  • Receive and relay telephone messages
  • Maintain hard copy and electronic filing system
  • Handle information requests
  • Prepare correspondence and statistical reports
  • Organise outgoing and incoming correspondence
  • Manage spreadsheets
  • Greet and receive visitors
  • Prepare confidential and sensitive documents
  • Coordinates office management activities
  • Determine matters of top priority and handle accordingly
  • Prepare agendas for meetings as well as coordinate committees and task forces
  • Performs all related duties as assigned
Qualifications
  • Minimum of a 2.1 degree in any subject
  • Knowledge of the organization and composition of letters, minutes, reports, charts, and spreadsheets
  • Excellent typing and verbal communication skills
  • Knowledge of scheduling and coordinating travel arrangements
  • Ability to analyze and assess services and operations for quality, efficiency, and effectiveness and to make recommendations for improvements.
  • Efficient stress and time management skills
  • Ability to analyze and solve problems, as well as make rational decisions where necessary
  • At least 3 years cognate experience performing a variety of administrative support functions including transcription and dictation of correspondence
  • Administrative writing and reporting skills, professionalism, confidentiality & organization
  • Knowledge of office practices, procedures, and computer software programs including Microsoft Office
