Job Description
Job Purpose Statement:
- Stock management is an important part of an organization’s
profitability because the faster the inventory turnover, the more money
the organization makes. The Asst. Stock Manager is mainly responsible
for ensuring that the organization has the right amount of stock to meet
customer’s needs and also avoids overstocking of items, which ties up
cash and storage resources.
- It is the responsibility of the Asst. Stock Manager to ensure
the integrity of the stock management systems in order to guard against
pilferage, theft, fraud and other activities that adversely affect the
organization’s operations and financial resources.
- The incumbent must be detail-oriented since the job requires keeping track of a large amount of diverse products.
- The officer will oversee and is responsible for the overall performance of the stock team.
- The Asst. Stock Manager in this retail establishment will
organize and monitor inventory levels to maximize profitability and
efficiency.
- The Asst. Stock Manager will own the day to day flow of
merchandise from the point of delivery to the sales floor or any other
approved destination and will work to ensure that inventory levels stay
within appropriate guidelines.
Duties
- Provide leadership in the stockroom on all aspects of backroom
operations, to include standards, processing, flow to the sales floor,
merchandising and customer experience. Support and assist the management
team in achieving all customer service and sales goals as defined by
Management.
- Produce and maintain departmental process documentation for
internal and external use, communicating processes throughout the
business and highlighting non-conformity.
- Create a Customer First environment through proper sales floor
and backroom presentation standards and ensure customer service
standards are upheld on the sales floor.
- Ensure the stock department is well organised and controlled to
efficiently support timely and accurate distribution of stock to sales
outlets to fulfill customer expectations
- Manage the day to day relationship with the stock team to
implement control measures to ensure mistakes, inaccuracies and
discrepancies and customer issues are highlighted, addressed and
resolved
- Implement and improve on processes and systems to manage the
company’s product inventory, with a view to minimize costs and maximize
working capital
- Manage and control perpetual inventory stock counting / inventory accuracy checks
- Minimize under/overstocks and recycling of obsolete / redundant stock to maximize availability of working capital
- Prepare and ensure the accuracy of documentation and reports relating to inventory.
- Manage the Stock team to ensure delivery of team member KPI’s.In
addition, the manager deals with grievances, complaints and
disciplinary matters arising out of his unit before reference to
management
- Facilitate knowledge sharing and providing training resource on
organizational ethics, safety standards, return policies, sales
promotions, work flow processes and practices that relate to the
handling of inventory.
- Line manage the Stock Officers and Stock Assistants according to company procedure.
- Attend weekly management meetings as scheduled.
- Conduct and maintain inventory records to track any merchandise shrinkage
- Conduct regular, controlled stock takes on sales outlets and the inventory room
- Conduct spot checks on sales outlets and the inventory room
- Responsible for assuring all backroom areas are clean and maintained.
- Ensure updates are provided to key staff members as appropriate.
- Produce weekly, monthly and annual reports to analyse the
performance of the unit and documentation to guide Management in
formulating marketing and procurement policies and strategies to improve
stock turnover.
Qualifications, Knowledge, Skills and Experience Required
The ideal candidate should possess the following:
- University Degree in Procurement and Supply Chain, Statistics, Economics or Business Administration or equivalent.
- At least 3-5 years relevant experience as a stock Keeper in a busy warehouse or.
- Advance Knowledge of ICG software and MS office applications.
