We are recruiting to fill the position below:     Job Title: Warehouse In-charge (for common warehouse) Location: Ngala (in Borno State) - North East Nigeria (90% field) Starting Date: 1 st April2019 Duration of contract: 3 month (Extendable) Reporting to: WH and supply chain coordinator Dependents: No General Context of the Project

  • The Boko Haram armed opposition insurgency started in 2009 and Maiduguri was the epicentre of the armed conflict.
  • The armed conflict later spread to all twenty-seven (27) Local Government Areas (LGAs) of Borno State, North East Nigeria.
  • The conflict took an international dimension as it spread to the neighbouring countries of Cameroun, Niger and Chad, resulting in the displacement of millions of people across all four frontiers.
  • The Armed Opposition Group (AOG) has been killing people in both rural and urban centres in their quest to form a hairline Islamic State in the north east of Nigeria.
  • A high number of towns and cities have been burned and destroyed. Social services and amenities have also been destroyed and are now non-existent.
  • Agricultural activities which used to be the source of food security and livelihoods among the rural communities of the North East are no longer existent.
  • Joint military operations by Cameroun, Nigeria, Chad and Niger have resulted in the liberation of 15 LGAs.
Tasks and Responsibilities
  • The Warehouse In-charge should provide overall logistic services; specifically to provide space for temporary storage to address a lack of available capacity in project area under direct supervision of the warehouse and supply chain coordinator
Specifically:
  • Provide overall coordination for INTERSOS daily presence in project area by liaising with the military authorities, the local authorities and other humanitarian actors in the area in collaboration with supervisor;
  • Understand, implement and / or maintain standard INTERSOS inventory management policies and procedures.
  • Request purchase of assets needed for a proper use of warehouses
  • Implement daily activities inside the warehouse in accordance with Logistics Sector SOPs and quality standards:
  • Manage stocks according to standard guidelines considering: individual requests/consignments per Service User; verification on Units of Measure (UoM) for handling (Bags, Bales, Boxes, etcetera), and reporting (metric tons, kilograms, cubic meters); proper documentation for all transactions (request, receipt, release), and warehouse management (stock cards, register of damages/losses).
  • Supervise physical and digital records according to standard guidelines considering: update the Release Item Tracking Application daily to reflect all transactions (new requests, receipt of goods, and release of goods) based on completed documentation; maintain physical records per individual request/consignment per Service User.
  • Update as per INTERSOS requirements, the Asset register, Asset inventory list and expendable store inventory list and produce TIMELY reports as requested by the warehouse and supply chain coordinator and in relation to WFP standard of operations (SOPs).
  • Prepare and send to the Project Manager the stock report on a monthly basis;
  • Supervise to maintain accurate and up-to-date record of the store contents, inward and outward movement of goods in the warehouse register or stock cards both using WFP standards.
  • Prioritize dispatch needs in conjunction with all NGO partners.
  • Liaise and maintain timely communications with relevant stakeholders to ensure the timely and efficient receipt and dispatch of goods depending on an organized mechanism;
  • Ensure information of Service Users, upon acceptance for all new requests, of the schedule for delivery of goods and receipt into the Logistics Sector Common Warehouse. All changes to the schedule initiated by INTERSOS will be communicated to Service Users in a timely way.
  • On a monthly basis, work with the partners to reconcile the Warehouse register in the Asset tracking sheet and equipment issuance forms.
  • Conduct routine inventory inspection and submit report to the warehouse and supply chain coordinator in a timely manner.
  • Perform a monthly asset spot checks, report if any assets/inventory are broken, lost or stolen on the Inventory Loss/Theft/Damage report, to be countersigned by the project manager
  • Achieve high levels of partners satisfaction through excellence in receiving, identifying, dispatching and assuring quality of goods
  • Measure and report the effectiveness of warehousing activities and employees performance
  • Organize and maintain inventory and storage area
  • Ensure shipments’ and inventory transactions’ accuracy
  • Communicate job expectations and coach employees
  • Determine staffing levels and assign workload
  • Interface with partners to answer questions or solve problems
  • Maintain items record, document necessary information and utilize reports to project warehouse status
  • Identify areas of improvement and establish innovative or adjust existing work procedures and practices
  • Confer and coordinate activities with other partners
  • Achieves financial objectives by preparing a quarterly budget; scheduling expenditures; analyzing variances; initiating corrective actions.
  • Completes warehouse operational requirements by scheduling and assigning employees; following up on work results.
  • Accomplishes warehouse human resource objectives by selecting, orienting, training, assigning, scheduling, coaching, counseling, and disciplining employees; planning, monitoring, appraising job contributions; recommending compensation actions; adhering to policies and procedures.
  • Meets warehouse operational standards by contributing warehouse information to strategic plans and reviews; productivity, quality, and partners-service standards; resolving problems; identifying warehouse system improvements.
  • Moves inventory by scheduling materials to be moved to and from warehouse;
  • Maintains storage area by organizing floor space; adhering to storage design principles; recommending improvements.
  • Keeps equipment operating by enforcing operating instructions; troubleshooting breakdowns; requiring preventive maintenance; calling for repairs.Accomplishes warehouse and organization mission by completing related results as needed.
  • Coordinate with new partners for signing of MoUs
  • Monitor consignments update partners before 90 days and coordinate for release of such consignment from the warehouse
  • Any other task assigned by the supervisor.
Required Profile/Experience
  • Bachelor Degree 4 years experience in Logistics ;
  • Minimum 4 years of experience from at national level project implementation position in a humanitarian / recovery context;
  • Experience in working in complex and volatile contexts;
  • Technical in warehousing management for food & non-food items (ware house management.
  • Documented results related to the position’s responsibilities;
  • Experience in leadership and problem solving;
  • Fluency in English, both written and oral including local language ad advantage;
  • Capacity to adapt to basic living conditions, patience;
  • Ability to put up with pressure from government agencies;
  • Ability to deliver high quality work within tight deadlines;
  • Strong negotiation skills;
Brief Conditions

Tasks and Responsibilities
  • Within the scope of INTERSOS's Common Warehouse Storage project, funded by WFP, the Janitor is responsible
  • for the Good House Keeping (GHK) and other associated tasks during the implementation of this project at Bama in Borno State.
Specifically:
  • Clean and mob the warehouse, offices, rooms, restroom, warehouse compound etc
  • Maintain the prescribed health and hygiene standard of the warehouses, rooms, offices, stocks, restrooms, work environment and total project operation environment.
  • Ensure the project building and facilities are tidy and clean at all time
  • Assist in warehouse repackaging, minor stock loading and unloading
  • Ensure good stock arrangement
  • Ensure clean light fixture to improve lighting efficiency
  • Ensure proper waste segregation and disposal
  • Monitors the operation of the project power generating set and other utility equipment and machines.
  • Ensure perfect working condition of the tools and equipment used to execute the cleaning and maintenance job.
  • Ensure the work space is not injury or accident -prone
  • Report all repairs and other house keeping operation needs as prompt as possible
  • Replenish working tools as necessary
  • And any other assigned duties by the Project Lead
Required Qualification/Experience
  • SSCE/ ND in any field
  • Experience in working in complex and volatile contexts;
  • Technical in Good House Keeping;
  • Ability to work under pressure;
  • Ability to deliver high quality work within tight deadlines;
  • Strong negotiation skills;

Tasks and Responsibilities
  • The Warehouse Officer will be responsible to providing overall logistic services; specifically, to provide space for temporary storage to address a lack of available capacity in project area under directs supervision of warehouse In-charge.
Specifically:
  • Supporting the WH In charge and the PM with the day-to-day operational requirements for the Common WH in close collaboration with data officer;
  • Perform any other task as might be required by the supervisor.
  • Understand, implement, produce and / or maintain standard INTERSOS inventory management policies and procedures.
  • Ensure physical confirmation of weight, volume and quantity of new consignments at the point of reception;
  • Ensure update of physical weights, volume and quantity of new consignments on RITA at all times;
  • Supervise, train and monitor warehouse casual labourers as required at all times;
  • Support in managing and documenting the receipt, handling, storage, release and reporting of goods through the warehouse In-Charge.
  • Ensure that all dispatch and receipt documents (Receive Note/Delivery Note/Stock Transfer Sheet/Waybills) are complete and archived in compliance with INTERSOS standards (scan documents and archive digital versions)
  • Implement daily activities in the warehouse in accordance with Logistics Sector SOPs and quality standards
  • Manage a schedule for receipt and dispatch of goods from/to Service Users (Partner NGOs in Banki/Bama)
  • Manage stocks according to standard guidelines considering: individual requests/consignments per
  • Service User; verification on Units of Measure (UoM) for handling (Bags, Bales, Boxes, etcetera), and reporting (metric tons, kilograms, cubic meters); proper documentation for all transactions (request, receipt, release), and warehouse management (stock cards, register of damages/losses).
  • Maintain physical and digital records according to standard guidelines considering: update the Release Item Tracking Application daily to reflect all transactions (new requests, receipt of goods, and release of goods) based on completed documentation; maintain physical records per individual request/consignment per Service User.
  • Ensure the maintenance / security of warehouse and assets .
  • Ensure timely repair and maintenance of the warehouse.
  • Update as per INTERSOS requirements, the Asset register, Asset inventory list and expendable store inventory list and produce TIMELY reports as requested by the warehouse in-charge and in relation to donor standard of operations (SOPs);
  • Ensure the recruitment, attendance follow up and payment of daily workers for logistics needs;
  • Prepare and send to the WH and supply chain coordinator the stock report on a monthly basis during absence of the Warehouse In-charge.
  • Report immediately on any discrepancies or theft noticed on any items
  • Any other tasks as assigned by Supervisor.
  • Keep an accurate and up-to-date record of the store contents, inward and outward movement of goods in the warehouse register or stock cards both using WFP standards.
  • Prioritize dispatch needs in conjunction with all NGO partners.
  • Ensuring the efficient flow of products in and out of the facility, optimizing the space, and maintaining proper control and accountability for goods at all times.
  • Support in planning the warehouse layout and space in the most operational way for reception, storage, preparation and delivery of the goods
  • Monitor security of partners’ storage and supplies.
  • Ensure all releases/damages/losses are recorded on stock/bin cards and with appropriate transaction-specific documentation (Release Order Form, Goods Received Note, etc.)
  • Receive completed store’s release forms and prepare the goods for issuance in accordance with WFP store release procedures.
  • Support in ensuring information of Service Users, upon acceptance for all new requests of the schedule for delivery of goods and receipt into the Logistics Sector Common Warehouse. All changes to the schedule initiated by INTERSOS will be communicated to Service Users in a timely way.
  • Ensure goods, equipment is signed for received on the request form (office expendables) or waybill (all other items) in the absence of warehouse in-charge
  • Ensure that all warehouse activities are conducted in accordance with processes and procedures, quality management systems, dangerous goods regulations and industry best practices.
  • Update the stock record cards regularly.
  • Conduct routine inventory inspection and submit report to the Warehouse In-charge in a timely manner
  • Prepares updates on inventory levels and communicates essential information to the warehoue In- charge on a regular basis.
  • Manage partners request promptly and resolve issues quickly
  • Ensure that control mechanisms are in place for warehouse and have approved list of staff that can enter the warehouse.
Required Profile/Experience
  • Bachelor Degree and 3 years experience in Logistics ;
  • Minimum 3 years of experience at national level project implementation position in a humanitarian / recovery context;
  • Advance knowledge of Microsoft Office products, including Excel and Word,
  • Experience in working in complex and volatile contexts;
  • Technical in Warehousing management (ware house management)
  • Documented results related to the position’s responsibilities;
  • Experience in leadership and problem solving;
  • Fluency in English, both written and oral including local language ad advantage;

Tasks and Responsibilities
  • The WH Data Collection & Storage Officer should be responsible, under overall supervision of WH In-charge, of the general Warehouse activities, assessment &
  • analysis related data implemented within the framework of the project plans, ensuring that they are delivered following the proposal text agreed upon with
  • the donor, and that these activities are achieving timely results. During absence of WH Incharge, position will be wholly accountable for given activities under direct supervision of Project Lead.
Specifically:
  • Understand, implement and / or maintain standard INTERSOS inventory management policies and procedure;
  • Provide information and logistics support to partners and warehouse staff where necessary;
  • Responsible for data keeping/documentation at all times. Take lead in data tracking of all partners using the storage facility.
  • Responsible for documentation of all receipt and dispatch (received notes/Delivery note/Stock transfer sheet/Waybills) are complete and archived in compliance with INTERSOS standards (scan documents and archive digital versions on computer) BOTH SOFT and Hard Copies.
  • Ensure the maintenance of warehouse and other relevant documents.
  • Update as per INTERSOS requirements, the asset register, Asset inventory list and expendable store inventory list and produce timely reports as requested by the warehouse in-charge and in relation to WFP standard of operations (SOPs).
  • Support in preparing and sending to the warehouse and supply chain coordinator the stock report on a monthly basis.
  • Develop new data collection and data analysis tools, including efficient data capturing forms.
  • Cargo tracking on RITA software with the warehouse in- charge and proper takeover in his absence.
  • Perform any other task as assigned by the supervisor.
  • Maintain physical and digital records according to standard guidelines considering: update the Relief Item Tracking Application daily to reflect all transactions (new requests, receipt of goods, and release of goods) based on completed documentation; maintain physical records per individual request/consignment per Service User.
  • Filling of waybills, consignment reports, labourers pay sheet as well as any relevant document for proper record keeping and documentation.
  • Compile data of which actors are in location, what type of activities they do;
  • Put together data of Partners contact list (MoU contact & actual contact)
  • Collect accurate data for generator usage
  • Effectively communicate the status, value, and importance of data collection to staff.
  • Prepare and deliver weekly/monthly/mid term / final data reports;
  • Keep and share the record of visitor: suggestions - comments - complains
  • Take record of car data
  • Take minutes of internal/external meetings and keep record
  • Archive every day problems / challenges with the solutions given or suggested
  • Create and maintain databases and spreadsheets that meet operational requirements.
  • Assist in developing the project data collection plan including monitoring and evaluation tools
  • Support the project manager to compile data and present quality statistics that meet user needs and contribute to decision making;
  • Keeping the data as up to date as possible;
  • Offer IT support and training to INTERSOS staff in Bama / Banki
  • IT focal point in Bama/Banki
Required Profile/Experience
  • Bachelor's Degree in Information Technology or Computer Science;
  • Minimum 3 years of experience from at national level project implementation position in a humanitarian / recovery context;
  • Experience in working in complex and volatile contexts;
  • Advance knowledge of MS Excel and MS Word.
  • Documented results related to the position’s responsibilities;
  • Experience in leadership and problem solving;
  • Fluency in English, both written and oral;
  • Capacity to adapt to basic living conditions, patience;
  • Ability to put up with pressure from government agencies;
