Job Title: Document Controller

Location: Port Harcourt, Rivers
Employment Type: Full Time

Job Description

  • Handling intake, scanning, verification, and storing documents.
  • Filing and archiving relevant documentation.
  • Retrieving files for other employees and customers when needed.
  • Updating and maintaining document management systems and physical records.
  • Maintaining the security of confidential documents.
  • Assisting employees with accessing documents through our document management system.
  • Identifying and numbering documents that come into the department or organisation
  • Using an electronic document management system (EDMS) such as Sharepoint, to index, store and retrieve a wide variety of document types (for example, security, training records or engineering drawings)
  • Converting paper documents to digital format by scanning them using software linked to the EDMS
  • Designing templates for documents, file types, and document databases.
  • Checking and editing documents for accuracy and compliance.
  • Controlling the flow of documents in and out of the department.
  • Reporting errors or developments regarding document storage.
  • Ensuring the secure destruction and disposal of sensitive documents.
  • Reviewing documents, checking they comply with regulations, creating revisions and archiving outdated versions
  • Preparing and updating document control procedures for the company
  • Making sure that departments are following the correct procedures in the document flow process
  • Perhaps carrying out administration duties for specific departments or teams in the organisation.
  • Distributing documents to the relevant people, departments or organisations, and letting them know when they need to take action on a document as part of a process
  • Creating master document templates and forms, and training employees how to use them

Job Requirements

  • A University Degree or a Higher National Diploma in Business Administration or any related field.
  • Minimum of 3 years experience in the oil and gas EPCI projects.
  • Experience in the usage of document management systems software.
  • Knowledge of tools and solutions related to project control activities.
