Job Title: Administrative Assistant

Location: Ikeja, Lagos
Employment Type: Full-time

Job Description

  • An administrative assistant supports office operations, performing a variety of tasks to ensure the smooth functioning of the office environment. This role involves managing schedules, handling correspondence, and providing general administrative support to executives and staff.

Responsibilities

  • Answering and directing phone calls
  • Organizing and scheduling appointments
  • Planning meetings and taking detailed minutes
  • Maintaining contact listsBooking travel arrangements
  • Submitting and reconciling expense reports
  • Providing general support to visitors
  • Acting as the point of contact for internal and external clients
  • Liaising with executive and senior administrative assistants to handle requests and queries from senior managers
  • Writing and distributing email, correspondence memos, letters, faxes, and forms
  • Assisting in the preparation of regularly scheduled reports
  • Developing and maintaining a filing system
  • Updating and maintaining office policies and procedures
  • Ordering office supplies and researching new deals and suppliers

Requirements

  • HND or BSC
  • Proven experience as an administrative assistant, virtual assistant, or office admin assistantExperience with administrative and clerical proceduresPrior experience in a similar role in a corporate or business setting

Other Requirements:

  • Availability to work full-time hours, typically 9 am to 5 pm, with occasional overtime
  • Strong interpersonal skills and the ability to build relationships with staff, stakeholders, and clients
  • Flexibility and adaptability to changing priorities and workloads
  • Reliable transportation to the office
  • Ability to handle confidential information with discretion

Skills:

  • Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
  • Excellent time management skills and the ability to prioritize work
  • Ability to work independently and as part of a team
  • Familiarity with office gadgets and applications (e.g., e-calendars and copy machines)
  • Customer service orientation
  • Professional demeanor and appearance.
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to multi-task

Remuneration

  • Salary: N150,000 - N250,000 per month based on experience and qualifications
  • Potential for bonuses based on performance
