The Healthcare Equipment and Allied Products Providers of Nigeria (HEPAN) is the umbrella body for companies involved in the manufacture, importation, distribution, and maintenance of healthcare equipment and related products in Nigeria. HEPAN works to promote best practices, build industry standards, and foster collaboration among stakeholders in the healthcare technology ecosystem.

We are recruiting to fill the position below:



Job Title: Administrative Officer

Location: Abuja (FCT) 
Employment Type: Full-time

Job Summary

  • The Administrative Officer will provide essential support to ensure efficient office operations, effective communication, and proper documentation within HEPAN.
  • The role involves handling administrative processes, supporting membership activities, managing correspondences, and assisting with event and meeting coordination.
  • The ideal candidate should be organized, proactive, and capable of working independently while maintaining professionalism and attention to detail.

Key Responsibilities

  • Manage day-to-day administrative operations and ensure smooth office functioning.
  • Handle correspondence, documentation, and filing (both electronic and physical).
  • Support membership registration, renewals, and database updates.
  • Liaise with vendors, service providers, and members when required.
  • Support financial processes such as payment requests and expense tracking.
  • Maintain confidentiality of sensitive information and ensure compliance with organizational policies.
  • Assist in the preparation of reports, meeting minutes, and official communication.
  • Coordinate logistics for meetings, workshops, and conferences.
  • Manage procurement of office supplies and maintain inventory records.
  • Perform any other duties assigned by the Executive Secretary.

Requirements and Qualifications

  • Bachelor’s Degree in Business Administration, Management, Social Sciences, or a related field.
  • 2–3 years of administrative experience, preferably within an association, NGO, or corporate environment.
  • Attention to detail and high level of professionalism.
  • Ability to work independently and in a team environment.
  • Experience in membership coordination or event management will be an advantage.
  • Excellent written and verbal communication skills.
  • Strong organizational and multitasking abilities.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace.
