We are recruiting to fill the position below:
Job Title: Document Controller
Location: Idi Oro, Lagos
Employment Type: Contract
Responsibilities
- Manage all project documentation, including engineering/technical, correspondence, project management, commercial, and legal records generated by the company, clients, and subcontractors.
- Regularly update and maintain document tracking logs.
- Perform quality control checks to ensure documents comply with the company and client standards, as well as project management systems.
- Distribute project documentation to internal and external stakeholders accurately and in a timely manner.
- Maintain and enforce document control processes, procedures, and specifications to ensure accurate records of all official project documentation.
- Ensure the proper registration, categorization, and filing of incoming and outgoing documents.
- Maintain a structured and accessible file system for all project documents.
- Expedite and monitor the status of document reviews conducted internally and externally by the project team.
- Collaborate with the Project Management team to evaluate and modify document control processes forproject specific needs.
- Provide technical support and troubleshooting for the electronic document management system.
- Assist the Project Manager in preparing project reports and summaries.
- Conduct audits and generate periodic reports to ensure compliance with document control procedures and data integrity.
- Promote adherence to all safety and compliance standards within document management processes.
- Act as the primary point of contact for document control inquiries.
- Resolve discrepancies in documentation and ensure data accuracy across systems.
- Develop and maintain a secure electronic tendering and contract document management system for project use.
- Manage access permissions for internal and external project team members to ensure the confidentiality and security of sensitive information.
Requirements
- HND / BSc in relevant courses
- 2years minimum
- Self-starter, results-driven and focussed on delivery of quality deliverables on time and within budget.
- Ability to manage large volumes of documentation efficiently.
- Familiarity with industry-specific documentation standards and processes.
- Strong ability to work under pressure and meet tight deadlines.
- High level of confidentiality and professionalism.
- ISO 9001 (QMS Internal Auditor), PMP or Prince.
- Ensure control of records and documents for traceability and irretrievability in line with ISO 9001:2008 QMS requirements.
- Excellent analytical skill.
