Job Title: Document Controller

Location: Yenagoa, Bayelsa
Employment Type: Contract

Summary

• We are seeking to hire an experienced and competent Document Controller that will be responsible for accurate and efficient preparation and management of documents. 
• He/She will control the numbering, sorting, filing, storing and retrieval of both electronic and hard copy documents produced by technical teams, projects or departments.

Responsibilities

• Copy, scan and store documents
• Check for accuracy and edit files
• Review and update technical documents (e.g. manuals and workflows)
• Distribute project-related copies to internal teams
• File documents in physical and digital records
• Create templates for future use
• Controlling company and project documentation
• Following and improving document control procedures
• Ensuring all documentation meets formal requirements and required standards
• Producing document progress reports for senior managers
• Conducts regular reviews and document audits
• Helping in the planning stages of a specific project
• Ensure documents are shared at key times to facilitate timely project completion
• Prepare ad-hoc reports on projects as needed.
• Retrieve files as requested by employees and clients
• Manage the flow of documentation within the organization
• Maintain confidentiality around sensitive information and terms of agreement
• Updating manpower position and work allocation reports daily as received from Site Engineers
• Corresponding on behalf of Project Managerwith Main Contractor, Client, Consultant, and Sub-contractors
• Reviewing documents, checking they comply with regulations, creating revisions and archiving outdated versions
• Able to use an electronic document management system (EDMS)such as Sharepoint, to index, store and retrieve a wide variety of document types such as engineering drawings

Experience:

• 3 - 5 years proven work experience as a Document Controller or similar role
• Familiarity with project management
• Must be working in an Engineering Company.
• Experience with an (Mechanical Engineering and Plumbing (MEP) will be an added advantage.
