Finance and Admin Assistant at Premium Care Initiative


Premium Care initiative was founded on November 12, 2018 and incorporated under the constitution of the Federal Republic of Nigeria on March 27, 2019 as a non-profit non-Governmental organization following its board decision. The organization was formed to respond to integrated health and social systems demand in Nigeria. Over time, the work of the organization has grown to include a focus on health and related program evaluation, health systems strengthening, structured capacity building, community led monitoring and health programs for key and vulnerable population.

We are recruiting to fill the position below:

 

 

Job Title: Finance and Admin Assistant

Location: Abuja (FCT)
Employment Type: Full-time

Roles and Responsibilities
Financial Management.

  • Maintain proper documentation and filing of all financial documents and ensure that petty cash is kept safe, secured, and locked in the petty cash box always.
  • Maintain up-to-date records of all petty cash transactions on petty cash Excel template.
  • Track petty cash disbursement for timely retirement/submission of receipts.
  • Ensure all cash transactions are in compliance with the organisation’s policies , donor and statutory requirements as well as Generally Accepted Accounting Principles (GAAP).
  • Maintain confidentiality of financial and other job-related information.
  • Provide audit support during internal and external audits.
  • Regularly monitor the budget and prepare monthly budget/actual reports.
  • Prepare periodic reports, (monthly/quarterly/annually) in accordance with approved format by the Bank.
  • Ensure all statutory deductions are remitted e.g., WHT
  • Prepare payment vouchers and maintain record of all financial transactions and payments.
  • Perform required monthly project reconciliations such as bank, petty cash, advances.
  • Research and resolve financial issues with external and internal vendors/consultants/participants.
  • Making disbursement for approved expenditures and ensuring that the payment meets the requirement of financial regulation by the Bank.
  • Ensure adequate supporting documents are provided and filed appropriately.
  • Work with the M&E team in developing the annual budgets.
  • Develop relevant charts of account and ensure all receipts, payments are posted on the accounting software (Quickbooks).
  • Complete other tasks as required.

General Administrative Duties:

  • Perform basic office support and document processing services such as typing, photocopying, spiral binding, and drafting correspondences as requested.
  • Respond to incoming calls, receive letters, mails, parcels and distribute them in a timely manner to recipients and process outgoing despatches.
  • Maintain confidentiality of information.
  • Ensure cleanliness and good ambiance of the office at all times.
  • Manage office supplies such as store items, stationaries and ensure adequate stock levels.
  • maintenance of office facilities and premises and escalating complaints as necessary.
  • Attend to all visitors in a polite, respectful and professional manner
  • Manage all incoming and outgoing correspondences.

Person Specification

  • University Degree in Accounting, Social Sciences or related field
  • Ability to manage information with discretion and confidentiality
  • Ability to apply discretion
  • Good telephone etiquette.
  • Minimum of 2 years work experience in a similar role in a formal /structured work setting.
  • Membership of a professional accounting body or must be working towards it.
  • Excellent verbal and non verbal communication skills
  • Excellent people skills and ability to manage conflict/difficult situation
  • High sense of responsibility/ Reliability and integrity
