Job Title: Executive Administrative Assistant

Description

  • Our team thrives on innovation, speed, and collaboration. As we scale rapidly, we’re looking for an exceptional Executive Assistant to support our Chief Marketing Officer (CMO) and help drive operational excellence across the business.

The Role

  • This is not your typical administrative role.
  • We’re looking for someone who is highly organized, proactive, and thrives in a fast-paced environment.
  • You’ll be a strategic partner to the CMO helping manage their time, priorities, and follow-through across multiple departments.
  • You’ll play a key role in keeping the business running smoothly behind the scenes.

Responsibilities
Calendar & Meeting Management:

  • Own and manage a complex, ever-changing calendar with precision.
  • Schedule and coordinate internal and external meetings, ensuring alignment with priorities.
  • Prepare agendas, take detailed meeting minutes, and track action items to completion.

Business Coordination:

  • Support cross-functional collaboration and ensure alignment on key initiatives.
  • Maintain confidentiality and handle sensitive information with discretion.
  • Contribute to process improvements and operational efficiencies.

Operational Support:

  • Act as a liaison between the CMO and internal teams, ensuring timely follow-ups and communication.
  • Assist in project tracking, reporting, and execution across various business functions.
  • Help organize and prioritize the CMOs workflow, inbox, and strategic initiatives.

Qualifications

  • 5+ years of experience in an Executive Assistant or Chief of Staff-type role, preferably in a startup or tech environment.
  • Ability to anticipate needs, think critically, and offer solutions.
  • Comfortable with ambiguity and rapid change.
  • Exceptional organizational and time management skills.
  • Strong written and verbal communication abilities.
