Job Title: Executive Assistant

Location: Chevron, Lagos

Job Description

  • We are seeking a highly organized, proactive, and tech-savvy Executive Assistant to provide direct support to the Business Owner. This role requires someone resourceful, detail-oriented, and able to anticipate needs while working with minimal supervision.
  • The ideal candidate must demonstrate excellent communication skills, strong organizational ability, and competence in digital tools to help streamline the owner’s daily activities and business operations.

Key Responsibilities
Executive Support:

  • Manage the Business Owner’s calendar, appointments, and travel schedules.
  • Serve as the first point of contact for internal and external stakeholders.
  • Draft, edit, and manage correspondence (emails, reports, proposals, presentations) on behalf of the Business Owner.
  • Ensure the Business Owner is well-prepared for meetings, events, and engagements.

Communication & Relationship Management:

  • Draft and review communications for professionalism and accuracy.
  • Represent the Business Owner in interactions with stakeholders when required.
  • Ensure prompt follow-up and closure of action items and commitments.
  • Maintain confidentiality and handle sensitive information with discretion.

Digital & Tech Tools:

  • Manage and schedule social media content to support the business’s online presence.
  • Design simple business documents, proposals, and marketing materials using Canva.
  • Create, schedule, and track email campaigns/newsletters via Mailchimp.
  • Prepare reports, financial trackers, and performance dashboards using Excel.
  • Support the Business Owner with digital tools such as Zoom, Google Workspace, or Microsoft Office.

Operations & Coordination:

  • Track and follow up on tasks, deadlines, and deliverables for the Business Owner.
  • Assist in coordinating meetings, projects, and events.
  • Conduct research and prepare briefs to support decision-making.
  • Liaise with clients, partners, and vendors on behalf of the Business Owner.
  • Maintain organized filing systems (digital and physical) for easy access to key documents.

Person Specification

  • Bachelor’s Degree in Business Administration, Communications, or related field (preferred).
  • Minimum of 2 years’ proven experience as an Executive Assistant or similar role.
  • Proficiency in Microsoft Office Suite, Google Workspace, and other productivity tools.
  • Proactive, resourceful, and able to anticipate the Business Owner’s needs.
  • Ability to work independently and make sound decisions with minimal supervision.
  • High attention to detail and strong problem-solving ability.
  • Professional demeanour with strong interpersonal skills.
  • Exceptional written and verbal communication skills.
  • Strong organizational and multitasking abilities.
  • Tech-savvy with proven hands-on use of Mailchimp, Canva, Excel, and social media platforms.

Salary
N150,000 / Month
