Association of Industrial Pharmacists of Nigeria (NAIP) include all registered and licenced Pharmacists in the Pharmaceutical Industry within Nigeria. We are dedicated to the promotion of sound Pharmacy profession, up-to-date Pharmacy education, research and Pharmacy practices within the Industrial sector. We are a technical arm of the Pharmaceutical Society of Nigeria.

We are recruiting to fill the position below:



Job Title: Executive Secretary

Location: Lagos
Employment Type: Full-time

Job Summary

  • The Executive Secretary will oversee the day-to-day administrative operations of the NAIP Secretariat, ensure efficient communication, support the National Executive Committee, maintain accurate records, and facilitate the smooth running of all NAIP activities and strategic programs.
  • The role requires a highly skilled, proactive, and detail-oriented professional who will work directly with the National Chairman, providing high-level administrative and executive support.

Key Responsibilities

  • Work directly with the National Chairman to manage schedules, priorities, official correspondence, and engagements.
  • Coordinate and manage all administrative functions of the Secretariat.
  • Serve as the primary contact for NAIP members, partners, and stakeholders.
  • Manage travel arrangements, meeting logistics, and official protocols.
  • Track and file statutory documents, regulatory submissions, and association records.
  • Facilitate communication between the Secretariat and NAIP Chapters nationwide.
  • Oversee office supplies, assets, and basic financial and procurement documentation.
  • Prepare correspondence, reports, minutes of meetings, and official communications.
  • Support the planning and execution of NAIP conferences, trainings, and national events.
  • Maintain and update membership databases, records, and documentation.
  • Prepare briefs, meeting notes, and follow-up action items for the Chairman and Executive Committee.

Required Qualifications

  • A Degree in Biochemistry, Microbiology, or a related field.
  • Master’s degree (MBA) is highly desirable and strongly preferred.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite and digital communication tools.
  • High level of professionalism, confidentiality, and integrity.
  • Strong interpersonal skills, with the ability to interact effectively at senior leadership levels.
  • Minimum of 3 - 5 years’ experience in administrative, secretariat, or executive-level support roles.
  • Experience in pharmaceutical factory setting is an added advantage.
  • Strong organizational, planning, and multitasking abilities.

Preferred Skills:

  • Familiarity with the pharmaceutical industry or regulatory environment.
  • Experience working with membership-based professional organizations.
  • Event coordination and project management experience.
