Job Title: Records Officer

Job Summary

• The Records Officer is responsible for organizing, maintaining, and securing both physical and electronic company records.
• They ensure compliance with regulatory standards, support audits, and uphold proper documentation practices.
• The role requires attention to detail, confidentiality, and coordination with various departments. Experience in pharmaceutical or regulated environments is an advantage.

Key Responsibilities

• Organize and maintain comprehensive filing systems for both physical and digital documents.
• Ensure timely and secure retrieval of records as needed by authorized personnel.
• Maintain confidentiality and integrity of sensitive company information.
• Coordinate with departments such as HR, Regulatory Affairs, etc, to ensure proper record-keeping practices.
• Perform periodic reviews and audits of records to ensure accuracy, completeness, and compliance.
• Monitor record retention schedules and ensure timely archiving or disposal of outdated records in line with regulatory and company policies.
• Support internal and external audits by providing requested documentation promptly.

Qualifications & Skills

• HND / B.Sc in Library Science, Business Administration, Records Management, or related field.
• Proficient in Microsoft Office
• High level of integrity and discretion in handling confidential information.
• Minimum of 2 years’ experience in a similar role, preferably in a pharmaceutical company
• Strong attention to detail and organizational skills.
