Resignation Letter

A resignation letter is an official letter sent by an employee to their employer giving notice that they will no longer be working at the company. The goal of a letter of resignation is to create an official record of notice, provide details about the employee’s last day, outline any next steps, and maintain a positive relationship with the employer.

Submitting a proper resignation letter at the right time can further make it easy for you to ask for the reference or acknowledgment letter. The resignation letter also acts as a document that can be maintained for an official record. If you want to resign in a most formal way, then it is advisable to send such a letter well in advance.

Telling your boss that you’re leaving the company is never an easy conversation. But a respectful resignation letter can mean the difference between an awkward goodbye, and a chance for a long-term professional connection.

The examples below can help you craft a polite and appropriate resignation letter.

Dear [Supervisor’s Name],

Please accept this letter as notice that I will be officially resigning from my job at [company name] effective [resignation date]. Although I have enjoyed working with you and working for the company, personal reasons necessitate that I vacate my position and focus on other areas of my life.

This was not an easy decision to make, on my part. The past [length of period worked eg: 3 years] here have been very rewarding for me. I deeply appreciate the opportunities you’ve provided me with. I have grown both personally and professionally and I am very grateful for all your assistance along the way.

If I can be of any assistance in finding and/or training my successor before my departure or afterward, then please let me know. I’d be happy to provide whatever assistance I can to ensure a smooth transition.

Thank you again for your understanding. I consider just about everyone I have met here to be friends of mine now and I look forward to working with you again in the future should the opportunity present itself. I wish you all the best.

Sincerely,
